The semester exchange program is a study program in which students pursue education at one of the international partner institutions for a period of 6 months to 1 year.
## Guidelines for Semester Exchange

#### Choose a Partner University
Select a partner university from the list provided.

#### Evaluate Courses
Evaluate the suitability of the courses offered at the chosen university.

#### Confirm Details
Confirm the language of instruction and semester timeline.

#### Visit University Website
Visit the partner university's website to find course lists and factsheets.

#### Submit Nomination
After ensuring that the exchange program meets your criteria, submit the online nomination form.

#### Await Confirmation
The Office of Global Engagement will check the nomination received and then confirm the students of the status of their nomination.
## Application & Nomination procedure
Once your nomination is accepted by the partner university, our office or
the partner university will contact you about the application process to be
completed.

#### Submit Nomination Form
Submit your nomination before the deadline (Nominations are to be submitted before 6 p.m. of the specified deadline date). Late submissions will not be considered.

#### Faculty Advisor Approval
Upon form submission, your faculty advisor will receive an automatic email for approval. Submit early to ensure your advisor has time to review before the deadline.

#### Receive Nomination Status
Once approved, we'll notify you of your nomination status via email.
## Eligibility criteria
- Students should not have any backlogs
- Should have at least a CGPA of 7.5 (preferably). If many nominations are
received for a particular university, CGPA criteria will be considered in
selection.
## Remarks
- You can submit your nomination to only one partner university at a time.
Multiple submissions to various universities simultaneously are not
allowed.
- Semester exchange programs last 5 to 6 months at the host university.
Please plan your financial expenses carefully before applying. The
estimated cost for a semester exchange typically ranges from ₹4 to ₹6
lakhs, though this may vary depending on the country and the specific
university location.
- Students who receive nomination confirmation from the partner university
cannot withdraw it and apply to another university.
- If you are participating in a semester exchange during your final
semester, ensure that the semester timelines at the partner university
align with our institute's timeline. If there is a mismatch, you must
inform your faculty advisor and the Academic Courses Office and obtain
their approval.
- During the semester exchange, you should not leave the host country and
return to India without completing your courses. In case of an emergency,
you must inform both us and the host university coordinator.
- If the partner university requires an English Proficiency certificate
during the application process, a similar certificate called the "Medium
of Instruction certificate" from the Academic Courses Office can be
submitted.
Please Note
The partner university reserves the right to choose whether to accept/decline nominations based on their admission criteria or other reasons.
Students dropping out of the semester exchange program after the application has been processed will be ineligible from participating in exchange programs in the subsequent semesters.
## Frequently Asked Questions
Can I do my exchange in my first year of UG/PG?
Students must have completed at least 3-4 semesters to apply for a semester exchange.
Can I take courses across different departments?
Yes, students can register for courses from other departments as well but subject to availability at the partner university.
Where can I get the course list of the partner university?
Course lists and factsheets are usually available on the partner university website.
Can a UG/DD student go for a semester exchange in their final semester?
For a semester exchange, mobility in their final semester is not recommended. Prior approval from their department is mandatory. For DD students, DD project advisor approval is required.
Where can i get approval for course selection and details regarding course credits?
Any information related to acdemics like course selection, credits, attendance should be dicussed with your department and academics courses office
Where can I get the NOC for the semester exchange application?
The NOC is provided by the Academic Courses Office (drcourses@iitm.ac.in). Please obtain the necessary approvals for the semester exchange from your department, attach them, and send the documents to drcourses@iitm.ac.in, with a CC to exg\_prog@ge.iitm.ac.in. When requesting the NOC, the following details must be included Student Name, Roll Number, Host University, Country, Duration of the semester exchange
