What is a certified true copy

A certified (true) copy of a document is a copy taken of the original primary document by a qualified official who guarantees its authenticity as a true copy.

Ghent University only makes certified copies of diplomas/certificates issued by Ghent University. For non-UGent documents, you may contact administrative services of the City of Ghent.

Cost price

Free of charge.

Procedure

Diploma/certificate obtained in academic year 2013-2014 or later:

Email diploma@ugent.be to request copies and attach a scan of your ID card or passport.

Diploma/certificate obtained before academic year 2013-2014:

Deliver your original diploma/certificate to the Registrar's Office: visit in person.

Or send by post (preferably registered) to the following address (different from the address of the Registrar's Office in the Student Centre):

Universiteit Gent\ Universiteitsdienst Onderwijs en Onderzoek\ Team Studentenadministratie\ Balie rectoraat\ Sint-Pietersnieuwstraat 25\ 9000 Gent

We will make the necessary copies and return them to you along with your original diploma/certificate.

Documents not issued by Ghent University

A certified (true) copy is a copy made by an individual or institution authorised to do so, in this case, the academic institution or university that granted your transcripts/diploma/supplements/certificate. \ They stamp the copy, thereby attesting that it is a true copy of the original document.

Usually the individual or institution who issued the said document, can also deliver a certified copy of the document. The institution can also e-mail a certified copy to Ghent University.
