Managing money is one of the most crucial aspects of running a successful Club. From securing funding and managing bank accounts to understanding budgets and ensuring compliance with Australian tax requirements, financial management plays a key role in achieving your Club’s goals.

Core grants are guaranteed funding for Clubs, the amount provided is based on the number of RMIT Student members your Club has.

Club Orientation Grant – NO APPLICATION REQUIRED

Orientation grants provide a small reimbursement for costs associated with attending Semester 1 Clubs Days at City and Bundoora campuses, submit an acquittal report after the event to claim the funds.

Acquittal Requirement:

Special Program and Event Grants (SPEGs) – APPLICATIONS FOR ROUND 2 OPEN NOW

SPEG is not available to Political Clubs or Clubs with incomplete affiliations.\ SPEG grants are competitive grants – they are not guaranteed. Funded activities must align with a 2026 SPEG priority category.

Financial Management

Club Bank Accounts:

Budgeting:

Budgeting is a crucial part of running your Club, it is important that when planning for an event you create a budget. All budgets must be approved by a committee meeting to approve the spending for that event.

Budgets don’t have to be complicated, in fact most events budgets will be quite simple – this is a basic budget template that you can use. You’re also welcome to create your own if you prefer.

Keeping Track of Club Assets & Equipment:

Clubs should maintain an ‘Asset Register’ to have an up to date record of all items the Club owns and the location they are kept at.\ You can use this simple template or create your own, remember to update this whenever new equipment/items are purchased or when locations change.

Purchases in currencies other then $AUD:

Sometimes Clubs will make purchases in other currencies, to keep track of this you will need to keep a record of the exchange rate between $AUD and the other currency on the date of purchase.

Statutory Declarations:

If you’ve lost or did not receive receipts or other proof of payment needed to apply for a grant or complete an Acquittal Form, there is an alternative. You can submit a Statutory Declaration (Stat Dec)in place of these documents.

A Stat Dec is a legal document in which you formally declare certain facts to be true. It must be signed and witnessed by an authorised person, such as a police officer, justice of the peace, or other approved official.

\ Borrowing EFTPOS Machines:

Clubs may borrow RUSU EFTPOS machines for events on the City Campus. Approval is not guaranteed, so plan ahead (requests must be submitted at least 2 weeks in advance). \ The form to apply can be found on your Clubs Rubric page in the Forms tab.

Fundraising by Clubs

Fundraising for your own club

Yes – your club can fundraise for itself!

Being not-for-profit doesn’t mean you can’t make a profit. It just means any money raised must go towards achieving the club’s Aims (as listed in your Constitution).

Fundraising for external organisations or causes

Clubs may only raise funds for external charities or causes with written approval from the Clubs Department. Key requirements include:

If your club wants to fundraise for a charity or cause, talk to your Clubs Officer first to make sure everything is set up correctly.

Sponsorship

RUSU Clubs are encouraged to find people, companies, and other organisations (including RMIT University Departments) to support the Club as sponsors.

Sponsorship might be financial ($AUD) or “in kind” – discounts (for the Club and/or its members), free things for the Club to use or give to members, guest speakers or performers, etc.
