Your offer - what happens next?

This guide explains everything you need to know about your Newcastle postgraduate study offer. We'll tell you what you need to do and when.

We aim to respond to your application within 5 working days. For some courses, or during busy times, this may take longer. If we need further information to help us make a decision, we will email you.

How we process your offer depends on whether you are an international student or a home student. This depends on your fee status and we'll confirm this in your offer letter.

You can track the progress of your application or contact us with queries by logging in to the Apply to Newcastle Portal.

Types of offer

There are two types of offer you can receive: unconditional and conditional.

Unconditional offer

If you receive an unconditional offer from us, you will be able to accept it through the application portal you applied through.

Conditional offer

You’ll receive a conditional offer if there are conditions that you need to meet before you can start your course.

The conditions of your offer are in the ‘Terms and Conditions of your Offer’ section of your offer document. You can also see the conditions of your offer in the application portal you applied through.

Uploading your supporting documents

To provide evidence that you’ve met the conditions of your offer, upload your supporting documents to the application portal you applied through. If you’re still studying, upload the documents as soon as they’re available.

If your supporting documents aren’t in English, you must provide certified English language translations.

When your documents demonstrate that you’ve met your offer conditions, your offer will become unconditional.

If you have just missed the conditions of your offer, we would encourage you to upload your results anyway. We will review your application and may still be able to give you a place on your chosen course.

Types of condition

Academic conditions

These include:

References

We’ll contact your referees to request references.

If you have references from your referees, upload them to the application portal you applied through. References must be signed by your referee, dated and on official letterhead. Once you’ve uploaded the references, we might also contact your referees.

English language conditions

There are two ways to meet your English language conditions:

Deposit

We have five courses that require a deposit to secure your place:

If this applies to you, the deposit amount and deadline for payment will be in the 'Terms and Conditions of your Offer' section of your offer document.

To pay your deposit, log in to the application portal you applied through. You can pay by credit or debit card.

You can also pay by electronic transfer or by cheque. Cheques should be made payable to Newcastle University and sent to:

Tuition Fees Section\ Finance Office\ Newcastle University\ King's Gate\ Newcastle upon Tyne\ NE1 7RU\ United Kingdom

Please include a copy of your offer letter with your cheque.

Usually your deposit is non-refundable and we'll deduct it from your tuition fees. But, there are some instances when we'll refund your deposit. Our Deposit Refund Policy sets out the circumstance and deadlines by which you can ask for your money back.

Contact us if you have any problems paying your deposit.

Passport

* Applicable for International students only

We’ll need a copy of the personal details page of your passport.

Academic Technology Approval Scheme (ATAS) certificate

* Applicable for International students only

Some science, engineering and medical courses require you to have an ATAS certificate.

When it’s time to apply for your ATAS certificate we’ll email you with instructions. The email will contain the ATAS statement or module list that you’ll need to include in your application.

You can apply up to six months before the start of your course. ATAS applications can take up to 20 working days to process so you should apply in good time.

If you’re being sponsored, upload your formal sponsorship letter as soon as it’s available to the application portal you applied through. You don’t need to pay a deposit if you’re able to provide proof of sponsorship.

You can log in to the application portal you applied through to check on progress at any time. We check your documents as we receive them. As you meet each condition, the list of conditions in the application portal you applied through will update to reflect this.

Confirmation of a Place (COP)

When you’ve accepted your offer and met any conditions we’ll send you a Confirmation of a Place (COP) document. This is formal confirmation of your acceptance of the unconditional offer.

Replying to your offer

Congratulations on receiving an offer to study at Newcastle University. Once you've received your offer, you have three choices: accept, decline or defer.

Accepting your offer

We hope that you’ll accept your offer to study with us.

To accept your offer, log in to the application portal you applied through.

You may have received multiple programme offers, but please note that you can only accept one. Once you confirm your acceptance, all other offers—including applications still awaiting decisions—will be automatically declined. However, if you change your mind, you can request to reinstate a previously declined offer, subject to availability

If there’s a deadline for accepting your offer, it will be in your offer document. Most of our courses don’t have a deadline. \ \ You can accept your offer as soon as you decide to study at Newcastle University. You can accept before meeting your offer conditions and before applying for funding for your course.

Once you accept your offer, we’ll assume that you’re coming to study at Newcastle. We’ll send further information so you can start making arrangements.

When you accept your offer, you are accepting the University's Terms and Conditions.

Declining your offer

If you decide to decline your offer, log in to the application portal you applied through to let us know.

You can change your mind about studying with us. If you accept your offer but then decide not to study with us, let us know by declining your offer in the application portal you applied through.

Deferring your offer

If you decide to defer your offer, log in to the application portal you applied through to let us know

For most courses, you can defer your offer to the next academic year. If we’re able to defer your offer and you have a deposit condition outstanding, we’ll apply a January deposit condition for the following year.

We’ll decline your current offer and send you a new offer for the next academic year. If we are unable to defer your offer, we’ll ask you to apply again the following year.

You can only defer your offer once. To defer for a further year, you’ll need to submit a new application the following year.
