Students wanting to study abroad via exchange or direct enrollment must apply through the International Programs and Services Office.
For exchange programs, IPSO receives a high volume of applications for a limited number of spaces, making selection competitive. If a program receives more applications than the spaces available, students not selected will either be placed in their alternative or not offered a spot for the intended cycle.
The application review process is thorough and takes the student’s complete application into consideration. Students are holistically selected based on the factors below:
- Academic alignment
- Motivation and seriousness for flexibility and cultural adaptability
- Maturity and responsibility
- Academic readiness
Students that have not had previous substantial international experience will be given priority and factored into the decision-making process for placements.
Only complete applications will be accepted.
Late applications will not be accepted under any circumstances.
Eligibility Requirements
Studying abroad can be transformational for students. To ensure AUC students will have successful experience, the criteria below are required to study abroad.
Undergraduate Students
- The student must be in good academic standing. Students placed on probation of any form will not be eligible. Good academic standing is identified as follows:
- 2.8 GPA
Important Note: Some host universities have a higher GPA requirement. Students are responsible for ensuring they meet their host universities GPA requirement before completing their study abroad application.
- The student must have completed a minimum of 24 credits by the time they participate in their study abroad experience.
- The major declaration must be completed.
- All students must complete the following freshmen-level core curriculum requirements:
- RHET 110/1010 - Analytical and Persuasive Writing (3 credits) and CORE 110/1010
- RHET 120/1020 - Research Writing (3 credits)
- Students are not eligible to apply if it will be the last semester at AUC.
- Students on disciplinary probation (found to have committed conduct or academic integrity violations in the semester of applying for study abroad) are not eligible to apply. If they have already applied, their acceptances will be rescinded. If they have been nominated as exchange students, the partner institutions will be notified of their withdrawal.
Students are also responsible for meeting the eligibility criteria of their host university. \
Graduate Students
Application Requirements
- GPA: A minimum GPA of 3.2 is required. If applying for the first semester without a GPA, the application will be considered on a provisional basis until grades are finalized.
- English Courses: Completion of all required English courses, if applicable.
- Course Enrollment: Enrollment in three courses (nine credit hours), excluding thesis and capstone courses, during the semester abroad at the host university. Students must maintain their full-time status, according to the AUC catalog.
For graduate students applying for exchange, only one third of the coursework can be transferred (excluding thesis and comprehensive exam credits). The number of transferable credits will be rounded up to the nearest multiple of three. For example, seven credits would be six, eight credits would be nine and so on, effective fall 2021. Check with the transfer credit unit regarding the maximum number of credits allowed for transfer according to your program. 4. Academic Standing: Students must be in good academic standing and not on academic probation from the time they start the AUC interest form until the departure date.
Fellowships: Graduate students on fellowships must check with the Graduate Students Service and Fellowships Office to determine if their fellowship applies during their exchange semester.\
Course Approval
Students are required to complete the Transfer Course Approval Form to be sent by the Office of the University Registrar.
The purpose of this form is so that students can receive confirmation that the courses they plan to enroll in at their host university will transfer to AUC.
Steps on Completing the Transfer Course Approval Form:
- Students are only eligible to complete the form if they have been placed at a university and confirmed their acceptance with the International Programs and Services Office (IPSO).
- Students can only list courses from the most relevant, updated course catalog for the intended semester of study (example: if students are studying abroad for the spring 2025 semester, the courses listed for approval must from the spring 2025 course list).
- The number of courses students can list on the course is 10.
- If the pre-approved courses from the registrar’s office are no longer available by the time you register at your host university, you can submit another updated form to the registrar’s office. It is recommended students complete this form as soon as possible so as to avoid any delays or issues with transferring courses
Carefully review below information on registering for courses at your host university and how study abroad course credit transferring works:
- As part of AUC’s exchange agreements with its partner universities, AUC exchange undergraduate students must enroll in 15 US credits and AUC graduate students in 9 US credits.
- The transfer of credits from the host university is only granted to courses with a minimum final grade of “C” or an equivalent grade evaluated by AUC.
- Courses that are graded by host university as “Pass” or “Credit” are not transferable to AUC. Students must receive a letter grade from their host university for each course the take.
- Transferred credits from a student’s host university are added to their earned hours, but the grades they receive will not be calculated into the computation of their AUC GPA.
- Repeated or cross-listed courses from another university are not transferrable to AUC.
Cancelling or Deferring Your Study Abroad
Students that decide to defer or cancel their participation in a study abroad exchange program must acknowledge the following:
- They are required to complete the Deferral/Cancellation form sent by IPSO according to the deadline announced. Failure to do so will result in AUC tuition charges (for students on exchange) and dropping any registered AUC classes in Banner.
- For students on exchange, once IPSO receives their cancellation/defer confirmation via the form above, IPSO will contact AUC’s Registrar’s office, Accounting office, Student Financial Affairs and Scholarships, and the partner university.
- For students direct-enrolling, once IPSO receives their cancellation/defer confirmation via the form above, IPSO will contact the relevant offices mentioned above, but the student is responsible for contacting their host university.
- Students on exchange programs can only defer their participation for up to one semester at the same university (if the partnership between AUC and the host university is still valid and active).
- If students cancel their participation, but still want to participate in a study abroad program later, they must reapply during the next available application cycle.
- Refunds of AUC tuition or student fees from either AUC or their host university are not applicable if students do not complete their semester abroad.\
Acceptance and Pre-Departure
After the application cycle closes, IPSO will contact students with their placements.
Students that accept their placement via signing the Study Abroad Agreement form will be added to IPSO’s Study Abroad Canvas course.
This non-credit asynchronous course will guide students through the process and provide resources on immigration, cultural adaptation, and more.
Dates and Deadlines
Students are responsible for following the application deadlines below. No exceptions will be made. The application cycle through IPSO takes place a year before students’ intended semester of travel because AUC exchange students are carefully selected and then manually nominated to each host university. Because of this, students should carefully plan ahead.
