Student Residences Terms and Conditions

I. Terms of Occupancy

Eligibility

AUC Student Residences provide accommodation to enrolled and registered AUC students. Auditing or unofficially attending classes without registration does not meet eligibility criteria. Only students with a signed Student Residences contract may reside in the housing facilities. Students who are suspended, expelled, lose Egyptian residency, or withdraw from their academic program are not eligible to remain in the Student Residences, and the Withdrawal and Refund Policy will apply.

Occupancy Dates

Occupancy dates for each contract term are based on the academic calendar and published on the Residential Life website and in communication with students. Students have access to their rooms or apartments only during the period in which the Student Residences are open. Students may petition the Office of Residential Life in writing at reslife@aucegypt.edu to move in early or remain after the published occupancy dates.

The University reserves the right to refuse permission for a student to reside in the Student Residences beyond the occupancy dates. Students must vacate the Student Residences by 3 pm on the last day of the occupancy period. Failure to do so will result in being charged the daily room rate. Students must follow established check-out procedures with Residential Life staff.

Withdrawal, No-Show and Refund Policy

Students who plan to withdraw from the Student Residences must submit written notification to the Office of Residential Life at reslife@aucegypt.edu. Only the date on which the notification is received will be honored. Canceling the Student Residences contract after booking a room carries a financial penalty.

No-shows are students who do not check in by the designated cut-off date (one day before classes begin). If an applicant withdraws from the Student Residences:

All refunds are issued after the drop/add period each academic term.

Withdrawal from the University

Students withdrawing from AUC are subject to the University’s Refund Policy and must present the official University Withdrawal Form to the Office of Residential Life. If a student receives a full refund for tuition, the refund for Student Residences will be prorated based on the resident’s length of stay.

Suspension or Expulsion

Residents who are suspended or expelled from the University for disciplinary reasons will forfeit their deposit and the remaining semester residence fee.

Removal from Student Residences

Residents may be removed from the Student Residences for conduct that breaches this agreement or violates the Student Residences Community Guidelines. Under such circumstances, residents will forfeit all residence fees.

Contract Cancellation

The University reserves the right to cancel the contract and reassign the room of any student who does not check in by the first day of classes or email reslife@aucegypt.edu before the first day of classes to report a late arrival date. Failure to check in or notify the Office of Residential Life by the first day of classes will result in forfeiture of the room assignment and the administrative fee of $500.

The University prohibits students living in Student Residences from subletting their rooms at any time during the contract term.

II. Keys and Lockouts

Students receive their bedroom key(s) at check-in. All keys must be returned to the Office of Residential Life at check-out. Students who do not return their key(s) within 24 hours of the housing contract termination or checkout will incur a key replacement charge. Duplication of keys is prohibited and is considered to be a serious violation of the Code of Student Conduct.

In the event of a lockout, students may request access to their room or apartment through the Office of Security by emailing gatepass@aucegypt.edu. Requests are typically handled within 45 to 60 minutes.

III. Liability

The University is not liable for the loss of or damage to a student’s personal property. Because AUC cannot assume responsibility for personal belongings affected by mechanical issues, theft, fire, weather-related incidents, or other unforeseen events, students are strongly advised to maintain personal property insurance.

IV. Damage to University Property

Each resident must complete the Room Condition Report (RCR) within seven days of move-in—whether an internal or external assignment—to document any existing damages or issues in the room or apartment. Residents are responsible for the condition of the room and furnishings and for any damages or losses that occur during their occupancy, from the date of check-in until the date they properly check out.

IV. Operating a Business/Solicitation

Residents are not permitted to use any AUC facilities or services for business or personal profit activities. This includes, but is not limited to, buildings, the telephone system, the computer network, hardware or software. Only members of recognized student organizations, with prior permission from the Office of Residential Life, may conduct fundraising activities in the residence halls. Fundraising may not include door-to-door solicitation. No outside organization or individual may solicit in the residence halls or apartments.

V. Lawful Entry

There are several circumstances under which student rooms may be entered during the academic term. These include a request by the occupant(s), an occupant’s inability to return for the duration of the term, immediate concerns regarding the safety of any occupants, emergencies, suspicion of illegal activity, suspicion or knowledge of alcohol or drug use, or the need to check health or safety conditions. The University therefore reserves the right for its personnel to conduct routine room inspections and room searches when necessary.

Room Inspections

Maintenance and housekeeping personnel may enter student rooms to provide required upkeep. In addition, routine, unannounced inspections may be conducted by University personnel at random times during the year to:

  1. Assess the condition and cleanliness of the room and furnishings
  2. Identify needed maintenance or repairs
  3. Check for fire and safety hazards

If damages are found, repair or replacement costs will be charged to the occupants. Rooms or apartments that do not meet acceptable hygiene standards will require mandatory cleaning by the occupant(s) within 24 hours and may result in relocation if not corrected.

If University staff observe unapproved appliances or objects or notice items attached to facilities in an unapproved manner, these issues will be documented on a Notice of Room Check form. A copy will be left in the room, and the student will be expected to correct the issue. Failure to comply may result in the University removing the items at the student’s expense.

Room Searches

The University reserves the right to conduct non-routine, emergency room searches to protect the health and safety of all students. A room search is conducted only when there is reason to believe that a student is in serious physical or psychological distress or that the room contains prohibited items. In most cases, an act of misbehavior precedes such concerns.

Room searches are conducted by Residence Life staff and may be accompanied by AUC Security, Medical Services, or the Center for Well-Being. Searches are typically carried out in the presence of the student(s) assigned to the room; only under unusual circumstances will a search occur in their absence.

VI. COVID-19 and Public Health Policy

As a resident during the COVID-19 pandemic, your housing experience may be affected as the University continues to make public health–informed decisions. All mitigation measures and guidelines issued by the University in response to this public health crisis are considered part of your housing contract and the Code of Student Conduct. You are required to follow all safety and security guidelines as reasonably directed by the University.
