UniMailbox for enrolled students and enrolled doctoral candidates* (as well as FACE students**)

Starting in the summer semester 2025, all students and enrolled doctoral candidates at the University of Freiburg are required to use a university email address for study-related matters. With the enforcement of the mandatory use of university email addresses according to § 11 of the Admissions and Enrollment Regulations (ZIMMO) on April 1, 2025, this requirement also applies to FACE students from the summer semester 2025 onwards. This measure is part of the update of identity management, the improvement of IT security, and data protection. Since mandatory use goes hand in hand with a significant increase in the number of email addresses, a strategic cooperation has been established with the GWDG (Gesellschaft für wissenschaftliche Datenverarbeitung mbH Göttingen), which provides email services for scientific institutions within the DFN Association’s research network.

The UniMailbox follows the pattern: UniAccount@email.uni-freiburg.de (e.g. ab1234@email.uni-freiburg.de). Additionally, an alias in the form firstname.lastname@email.uni-freiburg.de is created. The use of private email addresses for study-related purposes is no longer permitted. Important notifications from central systems such as HISinOne or the learning platform ILIAS are sent exclusively to the UniMailbox. Please also use the UniMailbox for inquiries to the Dean of Studies, the Examination Office, or teaching staff.

On April 16, 2025, the UniMailbox was automatically registered in HISinOne as the (2-K) study correspondence email address for all students and enrolled doctoral candidates. Important for all students who already used a university email address with the subdomains @students or @[planet name]: these previous email addresses on the old university server were deactivated on April 15, 2025. To ensure that important communications and automatic notifications do not get lost during the transition, a forwarding to the UniMailbox has been set up and will remain active until December 31, 2025.

*Exception Doctoral candidates who are employed or were registered before 2018 and who already use their institute's email domain are not affected by this change and can continue using their existing email addresses.
