Application to, and participation in, one of The University of Queensland’s Global Experiences is subject to the following terms and conditions:

Although UQ may accept you to participate in an experience, officials at the Host Organisation will make the final decision regarding the outcome of your Application.

The period of the experience is outlined in the application. You cannot extend your experience at the Host Organisation once your Application has been accepted by UQ.

UQ will disclose relevant personal and academic information that you have provided with the Host Organisation for the purpose of assessing your application for an experience and, where your application is successful, managing and administering your experience. This information may be subject to the privacy provisions of the host country.
UQ-specific Requirements

You are responsible for ensuring that your contact details on MySI-net are accurate.

You are responsible for checking your UQ email account regularly, as all communication from UQ will be sent to this email address only. If you wish to use an alternative email, you must arrange for your student email to be forwarded to that account. This can be set up through UQ Connect at the following website: UQ Student Email Redirection Options.

If your experience impacts on the start of the following UQ semester, you are responsible for catching up on any missed course content and assignments, informing the relevant academics of your absence, and enrolling in UQ courses before the appropriate deadlines.
University Representation and Conduct

While preparing for and undertaking your experience, you are a representative of The University of Queensland and must at all times abide by the UQ Student Code of Conduct and all other UQ policies.

Throughout your experience, you must abide by the standards, policies and regulations of any Host Organisation forming a part of this experience. If you fail to meet or abide by the relevant standards, policies or rules of the Host Organisation, or otherwise cause concern, the Host Organisation may notify UQ of your behaviour.
Sponsored Students/Students in Receipt of Foreign Scholarships
- You are responsible for confirming with your sponsor, International Scholarships, and/or UQ Scholarships whether you are eligible to participate in an experience, and how this may impact your sponsored status.
International Students (does not apply to Australian Citizens or Permanent Residents)

You are responsible for researching the impact that your participation in an experience may have on your current and future visa status in Australia, including the timelines for completing your study.

You are responsible for registering with your own government’s Foreign Affairs registration system so that your government will be able to contact you in the event of an emergency.
Fees
- You are responsible for researching and understanding the full financial implications involved in your experience and agree to pay all required fees in full by the published deadlines to the appropriate recipients.
Travel Arrangements (Global Experiences Only)

You must not finalise travel (purchase flights in full, pay for accommodation in full etc.) until:

You have received your approval from UQ
- Any course equivalency requests have been approved by your Faculty
- You have received an official acceptance letter from the Host Organisation AND
-
You have obtained your student visa or other entry permit (if required).

You are responsible for managing your own accommodation, transport, passport and visas for your experience.
-
You are responsible for complying with all entry requirements of the host country and any other country/countries you are transiting through.
Insurance Coverage (Global Experiences Only)

All UQ approved travel must be registered with International SOS, this includes domestic and international. Please refer to the ISOS User Guide to ensure your travel is registered and updated.

You understand that UQ Insurance will only cover you for the country in which your experience takes place.

You must ensure that you have any health and travel insurance coverage required by the Host Organisation.

The UQ travel insurance policy will still not respond to any claims for travel cancellation and disruption expenses relating to or resulting from COVID-19, such as COVID-related border closures, lockdowns, flight cancellations or disinclination to travel. However cover may be available (subject to full policy terms, conditions, limitations and exclusions) for cancellation and disruption expenses in specific, limited unforeseen circumstances outside of the control of UQ/the traveller, where travellers are directly affected by a COVID-19 diagnosis or quarantine directive.

You must exercise due diligence in planning and undertaking approved UQ travel. Failure to exercise due diligence could mean that insurance cover is not available for medical expenses incurred as a result. For more information refer to UQ Travel FAQs.
Safety and Security (Global & Domestic Experiences Only)

You are responsible for your own safety and security while travelling to undertake your experience.

You must check the Department of Foreign Affairs and Trade website and the COVID-19 Restriction Checker regularly to check travel and other restrictions before booking any travel. UQ will not advise you of any changes in the travel restrictions and COVID-19 restrictions.

UQ will not support participation in an experience in any location that is subject to UQ travel restrictions or allocated a Smartravellerstatus of ‘reconsider your need to travel’ or higher. You may incur financial losses if this status changes between you making an Application and completing your experience.

Additional Requirements for Semester-based Exchange
Courses, Enrolment and Credit

You are responsible for seeking approval for the courses that you intend to undertake at the Host Organisation and obtaining approval from your UQ Faculty for any changes to these courses while studying.

Neither UQ nor the Host Organisation can guarantee that courses for which you have received approval (from UQ) will be available at the time of enrolment at the Host Organisation.

You are responsible for arranging alternative assessment at the Host Organisation if the standard assessment/exam period conflicts with the UQ semester that follows your experience.
-
Failing a course/s while participating in an experience may result in the lengthening of your UQ program.
-
UQ will automatically enrol you in 4 x EXCH codes for the experience (#8 UQ units) on My SI-net for the period you are on Exchange.

You are responsible for ensuring that you are correctly enrolled at UQ (on MySI-net) to receive credit towards your UQ degree for any study you are undertaking.
- You understand that you are unable to receive more than #8 UQ units of credit per semester from an exchange experience.
- You are responsible for ensuring that an official academic transcript is provided by the Host Organisation to UQ to enable credit to be processed, and you are responsible for ensuring that your UQ academic record (MySI-net) reflects this credit within six months upon completion of your experience.
- UQ is unable to record the grades obtained from study at another institution as part of the credit transfer towards a UQ program; therefore, the grades you receive from your experience will not count towards your Grade Point Average (GPA) at UQ. UQ will consider these results in the determination of University Medal calculations in accordance with UQ policy and Senate Rules). Results received from your experience may also be taken into consideration when applying for Medical School, honours, and post-graduate studies etc.
- You will be charged tuition fees commensurate with the number of units in which you are enrolled at UQ while studying overseas. You understand that you are required to pay for these units according to your fee status and regardless of the number of units granted towards your UQ degree for the courses undertaken at the Host Organisation. Information regarding tuition fees and student contributions while on Exchange is available here.
- The undertaking of an Exchange in the last semester of your UQ program will likely delay your graduation as obtaining official academic transcripts from the Host Organisation may not align with UQ graduation deadlines.
Additional Requirements for Short-term Study Experiences

You are responsible for seeking approval for the courses that you intend to undertake at the Host Organisation and obtaining approval from your Faculty for any changes to these courses while studying.

Neither UQ nor the Host Organisation can guarantee that courses for which you have received approval (from UQ) will be available at the time of enrolment at the Host Organisation.

Reciprocity Short-term Study Experiences

UQ will automatically enrol you in 1 or 2 x EXCH codes for a Short-term Reciprocity experience on My SI-net for the duration of your experience.

You are responsible for ensuring that you are correctly enrolled at UQ (on MySI-net) to receive credit towards your UQ degree for any study you are undertaking.

You will be charged tuition fees commensurate with the number of units in which you are enrolled at UQ while studying overseas. You understand that you are required to pay for these units according to your fee status and regardless of the number of units granted towards your UQ degree for the courses undertaken at the Host Organisation. Information regarding tuition fees and student contributions while on exchange (reciprocity experiences) is available here.
