# START: How can you register your PhD?

## The registration step by step
[1 Search for a doctoral supervisor](#accordionItem-1290198-0)
You are responsible on your own for identifying and contacting an entitled **doctoral supervisor** for PhD procedures at the faculty who will supervise your thesis (“Doktorvater” / “Doktormutter”). All professors and lecturers (PD, Privatdozenten), who are member of our faculty, are entitled to supervise doctoral students. In addition, also some junior researchers, who were approved by the Faculty Council may also be admitted as supervisors. (According to §2 paragraph 2 sentence 3).

[2 Requirements for a PhD](#accordionItem-1290198-1)
For admission to doctoral studies the completion of **five years of studes** (*official length of programs!*) is requested, consisting in i.e. three-year Bachelor and two-year Master studies in total. The five-year study regulation will not be applied to the state examination system.
- The **final overall grade** may not be worse than 2,50 in the Bavarian grading scale system
- or an official written confirmation (ranking) by the central student administration of the issuing university that the candidate belongs to **the top 30%** of his class and in his discipline at his university (no technical college)
- also possible: the dean may also admit candidates with a **final grade of up to 2,99** in the Bavarian grading system if the doctoral supervisor from the faculty applies for acceptance according § 3 section 2 Sentence 4 **as long as the diploma or master thesis was graded at least "good"** (= 2,5 in the Bavarian grading system).

[3.1 Online form](#accordionItem-1290198-2)
Please fill out the online form only:
- if you have already received approval from your supervisor at the Faculty of Chemistry and Pharmacy and
- if you shortly intend to provide the PhD office with all the required documents. Please note that the data will be automatically deleted after approx. 2 weeks if you do not register at the PhD Office. Your submitted form should still be online by the documents submission.
In order to apply, please create an account. **Choose your language clicking on German or English at the right bottom of the start page.** Fill out the form carefully, as well as the personal data disclose.\
By clicking on «Submit» the file will be saved and sent then you can contact the PhD office. Before you leave the webpage, please print out the form (Button „Bewerbungsdaten als PDF“) and sign it. After having been successfully registered your online form will be deleted.

[3 PhD admission](#accordionItem-1290198-3)
Please contact the [PhD office of the Faculty of Chemistry and Pharmacy](https://www.cup.lmu.de/en/research/phd-habilitation/phd-and-habilitation-office/) by phone or email after having all the required documents from sections 3.1, 3.2 and 3.3 in order to apply for admission.
- The registration at the PhD office of the Faculty is mandatory **within 3 months after** **starting your PhD undertaking!** (please take into account closures of the PhD office).
- If you also wish to enrol after your admission at the Faculty, please see point 4.
[3.2a Internal PhD](#accordionItem-1290198-4)
This refers to candidates who would like to do a doctorate at the Faculty of Chemistry and Pharmacy and whose **supervisor is a member** of the Faculty of Chemistry and Pharmacy.
To edit the PDFs, please save them locally. Open the PDF forms (not in the web browser) and fill them out electronically before printing.

The form should be signed **in original** by you and your supervisor.
[3.2b External PhD](#accordionItem-1290198-5)
This refers to candidates whose **supervisor is not member** of the Faculty of Chemistry and Pharmacy (external candidates). Fill out the form electronically and let it signe in original by your external supervisor and the internal one (Fachvertreter), a member of the Faculty of Chemistry and Pharmacy according to § 2 Abs 1 der PromO. Your eligibility for the doctorate will be checked. If your application is successful, you will receive via physical mail / internal post (Hauspost: mailbox of your group) an official letter from the Dean confirming your acceptance for admission to the PhD program and a written notification of your admission (Bescheinigung ueber die Zulassung zur Promotion).
To process the PDFs, please save them locally. Open the PDF forms (not in the web browser) and fill them out electronically before printing.

**For external biochemistry doctoral candidates only**, as well as their supervisors, please note the following additional agreements:
- external biochemistry doctoral students should participate in supervision of internships at the Department of Biochemistry as teachers. The extent is 4 weeks (full day), related to the total duration of the doctorate
- external biochemistry doctoral students who are teaching at another department of the LMU are exempt from the above regulation
- external biochemistry doctoral students should regularly attend the doctoral seminar of the Department of Biochemistry and present their own research results there annually
- the supervisors ensure that the doctoral students enjoy the necessary insurance cover while performing their teaching duties.

[3.3a Previous education in Germany](#accordionItem-1290198-6)
If you have a **German university degree**, the following documents are requested:
- The online form "Registration" signed by you (see point 3.1).
- The form: "Registration for the PhD Program" or "External PhD candidate in biochemistry" or "External PhD candidate in chemistry and pharmacy" (see point 3.2a or 3.2b).
- The university certificate with the overall grade in numbers (e.g. Master- or Diplomzeugnis / 2nd section of the Pharmaceutical Examination, etc.) **in original *and* copy**.
[3.3b Previous education abroad](#accordionItem-1290198-7)
If you **do not have a German university degree**, the following documents are requested:
- The online form "Registration" signed by you (see point 3.1)
- The form: "Registration for the PhD Program" or "External PhD candidate in biochemistry" or "External PhD candidate in chemistry and pharmacy" (see point 3.2a or 3.2b)
- An informal **short cover letter** to the dean stating your intention to apply for admission to the PhD program at LMU Munich (in German or English)
- A **curriculum vitae** in German or English with contact information (address, nationality, place and date of birth, place and duration of study, etc.) and signature
- Your **university degree certificates and supplements** (original + 1 simple copy, or certified copy) verifying a total of *a five-year official length of program* (for example three-year Bachelor and two-year Master). The five-year study regulation will not be applied to the state examination system. The degree certificate should include your final grade in numbers and the grading scale. Information on course content and all results leading to the degree award should be provided in the form of an official transcript of records. The transcript should show information about grade distribution (ECTs) at the master level. The applicant's final average mark of master degree must be up to 2.5 on the German marking scale from 1 (“best grade”) to 4 ("last passing grade") or an official written confirmation that the candidate belongs to the top 30% of his class and in his discipline at his university (no technical college). Other rules are valid for fast-track students.
- For People’s Republic of China, Vietnam and Mongolia is also requested the *APS-Certificate* from the German Consulate in original (for CSC students: the original and copy of the *CSC entrance letter* is needed instead of the APS-Certificate)
- An **official authorized translation** in German or English of the documents mentioned above (original + 1 simple copy, or certified copy), if your university does not provide an English version
- *(if necessary)* A written **confirmation** of your university stating that your degree and grade qualifies you for admission to PhD programs there without restrictions (may be included in your student transcript e.g. “Access to further studies: PhD programs”)\
If your application is successful, you will receive via physical mail / internal post (Hauspost: mailbox of your group) an official letter from the Dean confirming your acceptance for admission to the PhD program and a written notification of your admission (Bescheinigung ueber die Zulassung zur Promotion).
[4 Enrolment](#accordionItem-1290198-8)
After receiving your doctoral admission letter and depending on your personal academic background, the [International Office](https://www.lmu.de/en/study/important-contacts/international-office/index.html "Link opens in a new window") or the [Office of the University Registrar](https://www.lmu.de/en/study/important-contacts/office-of-the-university-registrar/index.html "Link opens in a new window") is responsible for enrolment as PhD student. Please get informed about application deadlines and documents at their LMU webpages.
Please notice:
- There is no time limit on completing your PhD thesis. The enrolment, however, is restricted to a **maximum of 8 semesters**
- **Enrolment is at your own discretion**
