# Policy for transparency and accessibility

## Goal

SiO must be an open and accessible organisation for the students and our other surroundings. It is a particular goal to make student governance visible.

## Principles of transparency

SiO must practice transparency by making information available. This must be done onthe following way:

- Make meeting schedules, agendas and minutes from the executive board's meetings available at sio.no.
- Actively disseminate news and information from SiO's Executive board and sub-boards.
- Give a defined right of access to our correspondence with the environment by publishing mailing lists weekly. Interested parties can request access to the documents. SiO must give the environment the right to inspect incoming and outgoing documents with certain exceptions.

## Mailing list

The mailing lists are generated from our electronic document system. The mailing lists must contain correspondence SIO has with collaboration partners, private individuals, member institutions, authorities and others. The mailing list is published weekly on sio.no under the item "Reports". The lists must contain all incoming and outgoing mail that has been entered in the journal the previous week.

## Exemption from the right of access

Documents in connection with the following are exempt from inspection:

- Disputes
- Employment matters
- Personnel matters
- Budget matters
- Acquisitions
- Negotiations
- Other business matters

In addition, all documents containing confidential or sensitive information willbe exempt. SiO must consider giving access to documents that can be exempted from access.

## Document access

Requests for access should be sent to [post@sio.no](mailto:post@sio.no). Reference must be made to which document access is required. The reference should contain the document number or document name.The document manager submits the request for access to the person responsible for the document.The request must be processed and answered as soon as possible and no later than 3 working days after it has been received. The document to which access is required is sent electronically. If access is not granted, this must be justified.

## Appeals against refusal of access

Refusal of a request for access can be appealed to SiO's appeals body. Complaint is sent[post@sio.no](mailto:post@sio.no).SiO's appeals body has the following members: manager of the service area that owns the document in question, director of communications, director of organisation, a student representative from SiO's executive board and a representative from the the Welfare Council, or the member's deputy.Complaints must be processed within 2 weeks.
