1. Purpose

University of Technology Sydney (referred to as UTS, we, us, and our) is committed to protecting privacy and personal information and being transparent about how we handle data.

We follow the requirements of the Privacy and Personal Information Protection Act 1998 (NSW) and where applicable, the Australian Privacy Act 1988 (Cth). We also take guidance from major international privacy frameworks. Our goal is to ensure that visitors to the UTS website understand what information is collected, how it is used, and when it may be disclosed.

Note: This notice applies to UTS managed websites and online services hosted under the uts.edu.au domain. It does not cover third-party or partner platforms that UTS may use to deliver events, webinars, surveys, or other services (for example, Zoom or Humanitix). Users should refer to the privacy notices of those platforms for information about how they handle personal data.

2. Collecting your information

We do not collect or solicit any personal information via the UTS website that might be unlawful, unnecessary, excessive or unrelated to the functions or activities of the university.

a) Information collected when you visit our website

When you visit the UTS website, a record is generated about your visit which will be used for statistical purposes. Information collected includes:

• your server address
• your top-level domain name (for example, .com, .gov, .au, .uk, etc.)
• the date and time of your visit
• the pages you accessed and documents downloaded
• the previous site you visited, and
• the type of browser you used.

Information may also be collected through cookies. See the cookies section below.

b) Direct collection via forms, online requests or portals

Your information may be collected from you when you enter it directly onto a form or online request, or when you log into a UTS portal. For example, if you use an online electronic form that allow you to request a particular service from the university. Specific systems and forms have their own privacy notice.

c) Marketing and requesting information on our courses and offerings

Where you subscribe to marketing or request course information via our website or by email, refer also to our marketing privacy notice.

We collect this information to:

• Deliver and improve UTS services and events
• Communicate with you about opportunities and updates
• Analyse how our website is used
• Meet legal and regulatory obligations

d) Cookies and tracking tools

UTS uses cookies and similar technologies to make our website function effectively, analyse usage, and deliver relevant advertising.

• Essential cookies – required for security and core website functionality.
• Analytics cookies – help us understand how visitors use our site and improve our services.
• Marketing cookies – used for remarketing and audience insights.

Cookies are currently set automatically when you visit the site. You can choose to block or delete cookies through your browser settings, but this may affect website functionality.

We regularly review our use of cookies and tracking tools to align with evolving privacy expectations and legal requirements in Australia and internationally.

Examples of the type of information that we may collect through cookies include:

• your computer’s IP (Internet Protocol) address
• the date, time and duration of each interaction on our website(s),
• the pages you visited or campaign sites interacted with, or the online tools you use and the documents you download, and
• the previous site visited and the type of browser used.

In addition to section 3 of this notice, information we collect through cookies is used to personalise content on our websites for you. We use remarketing cookies, such as through Google and Facebook, and Google Analytics to show advertisements when you visit other websites based on your prior visits our websites. For Google Analytics, you can opt-out by going to Google Analytics Opt-out Browser Add-on.

e)  Online advertising & analytics

We use tools such as Google Analytics, Meta Pixel, and LinkedIn Insights to understand visitor behaviour and promote UTS programs.

• You may see UTS ads on other websites after visiting ours (remarketing).
• These tools use information such as browser and device IDs, IP address and browsing behaviour. At present, cookies are set automatically when you visit our site. You can limit data collection by blocking cookies in your browser settings or by adjusting your ad personalisation settings on Google, Meta or LinkedIn.

3.  How we use and disclose your information

a) How information is used

We use the personal information we collect as a result of your visit to the UTS website to:

• deliver the basic functionality of our websites
• monitor and improve website performance
• monitor the effectiveness of your visit and the university’s web presence, including statistical analysis.

We may also use your information if it is relevant to an investigation into alleged breaches of UTS rules or policies, or where required or permitted by law.

UTS does not make decisions with legal or similar effects based solely on automated processing of personal information.

Information provided on online request form or emailed enquiry, will only be used for the purposes it was collected for as defined above or in any separate privacy notice provided to you at the point of collection.

b) When personal information may be disclosed

Personal information collected as a result of your visit to the UTS website may be shared with contracted service providers. Otherwise, information will only be disclosed where required or permitted by law, or with your consent.

c) Publishing personal information on the UTS website

UTS will only publish personal information on the UTS website if it has been collected for this purpose with your knowledge or if you have consented to the disclosure. When giving such consent you should be aware that information published on the UTS website is accessible to millions of users world-wide, that it will be indexed by search engines, captured in web archive programs, and that it may be copied and used by any web user. This means that once information is published on the UTS website, UTS has no control over its subsequent use and disclosure.

4. How your information is stored and retained

Information collected via the UTS website will be stored securely in UTS controlled and managed systems, including those hosted by service providers on our behalf under contract.

Information is retained for the purposes for which it was collected, and in line with legal retention obligations under the State Records Act 1998 (NSW).

5. Data breaches

UTS takes data breaches seriously. If your personal information is affected, we will act quickly under the requirements of our Data Breach Policy.

6. Your rights in relation to your information

You have a right to request access to personal information or amendment of inaccurate information, that we hold about you. Further information can be found below under contact us.
