Important information for scholarship recipients

Congratulations on receiving a scholarship offer from UTS. This information will guide you through next steps and help you manage your scholarship.

Who is this information for?

The following information is for recipients of scholarships managed by UTS Scholarships.

Some scholarships are managed by a faculty, or the UTS: Graduate Research School or UTS International.

Accepting your scholarship

Domestic students

Once you have received an email from UTS offering you a scholarship, follow these steps to accept the scholarship offer:

  1. Login to My Student Admin, using your student ID email address and password
  2. Click on the 'Scholarships' tab at the top right of the page
  3. Select your Scholarship, then click the 'Accept' button
  4. Update your bank account details
  5. Enter any other details, then click the 'Save acceptance' button.

Once you complete these steps and have accepted your scholarship, the status of your scholarship in My Student Admin will change to ‘Pending bestowal’.

When your eligibility is confirmed, and your payment is being processed, your scholarship status will change to ‘Active’.

International students

  1. Accept your scholarship along with your course offer. Refer to Accepting your offer.
  2. Login to My Student Admin, using your student ID and password
  3. Click on the 'Scholarships' tab at the top right of the page.
  4. Your scholarship status should be ‘Active’.

Conditions of Award

The Conditions of Award is an important legal document that outlines your obligations while receiving your scholarship. It also outlines the university's responsibilities in administering the scholarship.

Please read the Conditions of Award in full before accepting your scholarship offer. By accepting your scholarship, you are also agreeing to the Conditions of Award.

Scholarship payments

Scholarship payments are made via Electronic Funds Transfer to your nominated Australian bank account. This is the preferred method of payment across the university. To receive your scholarship payment, you must enter details of your valid Australian bank account in My Student Admin.

If your scholarship is a tuition fee scholarship, payment will be made directly to your UTS student fee account.

To provide us with your bank details, or to update them, please follow these steps:

  1. Log into My Student Admin
  2. Click on the 'Personal Details' tab
  3. On the left-hand menu, click on 'Bank Account Details'
  4. Click on ‘Change my account details’
  5. Select 'Electronic Funds Transfer’ under the payment method
  6. Tick ‘Local’ under bank account (please note that we only pay scholarships to an Australian bank)
  7. Enter the bank account holder name
  8. Enter the name of your bank under bank name
  9. Select ‘BSB’ under bank code type
  10. Enter your 6-digit BSB code
  11. Enter your bank account number
  12. Click 'Save'.

Holding more than one scholarship

In most cases multiple scholarships cannot be held simultaneously. There may be exceptions where more than one scholarship is awarded if an equity scholarship based on exceptional circumstances is approved.

Conditions and rules regarding multiple scholarships can be found in the Conditions of Award.

Deferring a scholarship

A scholarship offer cannot be deferred. Students are welcome to re-apply for a scholarship in a future round.

Ongoing eligibility

The Conditions of Award outlines ongoing eligibility criteria required to continue receiving your scholarship. If your study circumstances change, please contact UTS Scholarships immediately for advice. The following are some examples of types of ongoing eligibility requirements:

Declaring scholarship payments to the Australian Taxation Office

UTS does not withhold PAYG tax from coursework scholarship or award payments. It is the recipient's responsibility to check whether the payments they are receiving are classified as taxable income. Please visit the scholarships page of the Australian Taxation Office website to determine whether your scholarship payments are classified as taxable income. For enquiries about scholarship taxation, you can also phone the ATO on 13 28 61.

It is important to declare your scholarship payment to Centrelink if you are receiving benefits.

Please contact Centrelink for information on how scholarship payments may affect your Centrelink benefit.

Once you accept your offer on My Student Admin, the status changes to ‘Pending bestowal’ until UTS Scholarships confirms your eligibility before authorising payments. If UTS Scholarships can verify your eligibility, your scholarship status will change to ‘Active’ and your payment will be authorised according to the payment details outlined in the Conditions of Award. - ### Why haven’t I received my scholarship payment?

Scholarship payments are not an automated process. After you’ve accepted your offer, UTS Scholarships needs to confirm your eligibility before authorising payments.

Before contacting UTS Scholarships, please ensure you have:

Most scholarships are paid 4weeks after the census date for both Autumn and Spring. If you are a recipient of the Equal Access Scholarship, you will receive your payment within 4 weeks of the commencement of the teaching period period, close to the census date for Autumn or Spring session, or within two weeks of accepting an offer if made after census date. - ### What should I do if I haven't received my scholarship payment?

If you are concerned that there is an error with your payment, please contact UTS Scholarships via email. This may include:

Once the tuition fee scholarship has been applied, you will see the balance amount payable on the tax invoice. The tuition fee scholarship value will not be displayed on the tax invoice as it has already been deducted from your tuition fee.

If you are concerned there is an error with the tuition fee scholarship applied, please contact UTS Scholarships via email. - ### Can my scholarship be paid in advance?

Scholarships cannot be paid in advance. If you’re experiencing temporary or ongoing financial hardship, please contact the Financial Assistance Service by calling (02) 9514 1177 or by email to find out what financial assistance may be available to you.

If you are experiencing exceptional circumstances, please reach out to UTS Scholarships for advice. - ### What are the conditions of my scholarship?

As a recipient of a UTS scholarship, you are required to meet the ongoing eligibility requirements to retain a scholarship. These criteria are defined in the Conditions of Award that you agreed to upon acceptance of your scholarship which would have been attached to your offer letter.

Please review clause 8 in the Conditions of Award (ongoing eligibility criteria) as this will verify what conditions you must meet to retain your scholarship. These may include enrolment and/or academic conditions. - ### My study situation has changed. Will I still receive my scholarship?

If your study circumstances change, please contact UTS Scholarships for further advice.

If you fail to inform UTS Scholarships of a change in your circumstances that is contrary to what is laid out in the Conditions of Award for your scholarship, you will be in breach of your scholarship conditions and your scholarship payments will be put on hold until the issue is rectified. - ### What should I do if I haven’t met the academic and/or enrolment criteria as outlined in the Conditions of Award. Will I still receive my scholarship?

Some scholarships may require recipients to maintain a certain level of enrolment and level of academic achievement  in order to retain their award. Please review the Conditions of Award in your offer letter for further information.

If you have not met the requirements of your scholarship, you must contact UTS Scholarships immediately. Your scholarship may be suspended or terminated, or you may be asked to complete a ‘Request to retain scholarship’ form. - ### Do I have to maintain a minimum academic achievement to retain my scholarship?

Some scholarships may require recipients to maintain a minimum academic achievement to retain their award. Please review the Conditions of Award in your offer letter for further information. - ### I have not met the minimum academic requirements of my scholarship. What should I do?

UTS Scholarships understands that from time to time students may experience exceptional circumstances which affect their ability to study.

If you haven’t met the minimum academic requirements of your scholarship, you must contact UTS Scholarships immediately. Your scholarship may be breached or you may receive a warning letter. UTS Scholarships will contact you if you haven’t met the academic requirements.

While your situation is reviewed, your scholarship will be put on hold. If you're experiencing temporary financial hardship during this time, please contact the Financial Assistance Service at the Student Services Unit by calling (02) 9514 1177 or by email to discuss which services may be available to you. - ### I have received a breach notification from UTS Scholarships. Does this mean my scholarship will be automatically terminated?

Receiving a breach notification does not automatically result in the termination of your Scholarship. UTS Scholarships may issue a breach notification if you have not met the ongoing eligibility criteria outlined in your scholarship Conditions of Award.

If you receive a breach notification it is important that you respond and outline the circumstances that led to the breach. UTS recognises that students may occasionally face special or exceptional circumstances that impact your ability to study and wants to help students keep their scholarship where possible. The breach process will provide you with the opportunity to appeal with any supporting documentation that be relevant to your circumstances. This will be submitted to the Chair of the Scholarship Selection Committee for review and a decision.

The Chair's decision is final and may result in one of the following outcomes:

Once the Chair has made a decision, you will be informed of the outcome and any conditions that may accompany it. - ### I want to go on exchange. Will I still receive my scholarship?

Your scholarship should not be affected by your exchange program if you:

Students undertaking or planning to undertake a Study Abroad session must contact UTS Scholarships for further advice on their ongoing eligibility.

Please note: If you go overseas, make sure your contact and bank account details are up to date in My Student Admin. - ### Will my scholarship be taxed?
